The model rounds the regular trip count to a whole number, adds extra round trips, doubles the one-way route, and uses the resulting miles for time and mileage cost. Per-trip access charges remain a separate layer.

Default substitution: N = ceil(2×6)+1 = 13 trips; L = 2×45 = 90 miles; M = 13×90 = 1,170 miles. H = 1,170/50 = 23.4 hours and C = 1,170×0.67 + 13×20 = $1,043.90.

    Five route-planning steps

    Measure the route before committing to the cadence

    1. Use the current door-to-door route in the travel mode actually planned.
    2. Choose a date frequency and horizon that match the calendar rather than an exceptional month.
    3. Add pickups, return visits, or other extra round trips that the basic count misses.
    4. Estimate a door-to-door average speed and personal cost rate from recent travel records.
    5. Compare miles, hours, cost, fatigue, and safety before deciding who travels or where to meet.

    Entered miles divided by driving hours, excluding added stop time here.

    Mileage cost

    Parking and toll cash repeated per trip rather than per mile.

    Unequal travel burden

    A 50/50 date count can still place every mile on one partner. Run each origin separately or compare a midpoint.

    Time beyond motion

    Charging, waiting, transfers, pickups, traffic, and breaks can dominate door-to-door time even when average moving speed looks reasonable.

    Rate drift

    Fuel, fare, toll, parking, and maintenance estimates change. Date every rate and rerun the plan when route or vehicle changes.

    Travel evidence

    Use current routes and recent operating records

    Save route screenshots, trip logs, odometer or fare records, parking and toll prices, charging stops, weather assumptions, accessibility requirements, and notes on who drives. Distinguish a personal cost estimate from any employer or tax rule.

    Distance limitations

    What the route multiplication leaves outside

    • Traffic, weather, construction, charging, transfers, and stop time are not simulated.
    • The cost-per-mile field is user supplied and has no reimbursement or tax authority.
    • Every trip uses the same route, speed, and access cost.
    • Vehicle depreciation, insurance, crashes, fatigue, lodging, and emissions are excluded unless embedded by the user.
    • The model cannot evaluate travel safety, accessibility, reliability, or fairness.

    One partner always travels

    The total exposes a large time burden, prompting a different cadence and occasional overnight stay rather than treating travel as invisible.

    Safety and fatigue override a mathematically efficient route

    Do not use the output to justify unsafe driving, travel during severe conditions, inaccessible transport, or pressure to travel. Follow current official travel information and personal safety limits.

    Why does the calculator round planned dates up?

    A fractional average still requires a whole trip if it creates any additional planned outing over the horizon.

    Is the cost-per-mile value an official reimbursement rate?

    No. It is a user-entered planning rate that should reflect the chosen vehicle and purpose; the calculator makes no reimbursement or tax claim.

    Does driving time include stops?

    No. It divides miles by entered average speed. Add a separate schedule allowance for charging, breaks, pickups, or congestion.

    Can public transport be modeled?

    Use total round-trip fare as tolls and parking, set cost per mile to zero, and treat average speed cautiously; a timetable model may be more appropriate.

    Why count extra round trips?

    Pickups, forgotten items, schedule changes, or split-location logistics can add travel that date frequency alone misses.

    Does the cheapest route mean the best plan?

    No. Safety, accessibility, fatigue, weather, reliability, and comfort remain outside the cost total.
