    What distance arithmetic misses

    Route reliability

    Seasonal closures, ferries, traffic, charging availability, and weather can make a nominal route impractical. Preserve a dated route check.

    Scouting has information value

    A scouting trip may prevent a bad location choice, but its value depends on what is verified: access, privacy, sound, light, staff, and backup options.

    Accessibility is location-specific

    Mileage cannot show steps, surfaces, toilets, seating, sensory load, or emergency access. Review the actual site for both people.

    • The distance rate may not represent the full economic cost of a specific vehicle.

    Questions about proposal travel scope

    Why add one to scouting trips?

    The final proposal journey is required even when no scouting occurs. The model therefore counts scouting trips plus one event trip.

    Can flights be represented with distance rate?

    Not reliably. Enter the known total flight and ground-transport cost as a suitable fixed cost in a different scenario or use a travel-specific worksheet.

    Should hotel tax be included in nightly rate?

    Yes. Use the all-in amount including mandatory charges so lodging does not look artificially low.

    What if both people travel but only one scouts?

    The total cost can be entered accurately, but the per-traveler allocation becomes simplistic. Preserve the actual traveler count by trip in a detailed ledger.

    Does fewer scouting travel always mean a better plan?

    No. A trip may provide essential access or safety evidence. Compare saved resources with the information that would be lost.

    Can the distance total support carbon accounting?

    It supplies activity distance, but emissions require mode, vehicle, occupancy, energy, and methodology data not modeled here.
