    1. Choose one distance unit and use a route source that matches the actual mode.
    2. Enter a cost-per-distance rate whose included expenses are documented and appropriate to personal planning.
    3. Include both directions in tolls and parking rather than adding them later to only one option.
    4. Use a fare that includes mandatory booking charges and the correct traveler count.
    5. Review time, reliability, safety, and accessibility separately before choosing a mode.

    DECISION DEPTH

    Why a mileage rate is not automatically personal economic cost

    Rates have different purposes

    Tax, employer-reimbursement, fleet, and personal cash-cost rates may include different items. Label the source and date instead of treating one published rate as universal.

    Fare flexibility has value and cost

    Refundability, baggage, transfers, seat selection, and rebooking rights can change the comparable alternate fare. Preserve the actual fare conditions.

    Route distance can change by mode

    Driving, rail, and air routes do not share one physical path. The distance result describes the distance-based option; alternate modes remain fare-based unless separately modeled.

    REAL USE CASES

    Two visit routes that need different cost boundaries

    Personal car versus intercity rail

    Use a documented vehicle planning rate plus tolls for the car and a fee-inclusive return fare for each rail traveler. Parking at either station belongs in the selected boundary.

    Rideshare to an airport connection

    A flight fare alone is incomplete when airport transfers recur. Add those costs to the alternate fare before comparing it with the repeated road plan.

    Variable distance cost
    Cost that grows in direct proportion to route length.
    Trip-fixed cost
    Charge attached to each cycle rather than each distance unit.
    Passenger fare
    Price charged for each traveler on the alternate mode.
    Cost crossover
    Rate or usage point where two recorded totals are equal.

    EVIDENCE TO RETAIN

    Retain the route and the rate definition

    Keep the route date, source and unit, planned trip count, traveler count, distance-rate source and included costs, toll and parking evidence, alternate fare quote, mandatory fees, fare restrictions, and calculation date. Published rates should be recorded with their effective period.

    LIMITS AND EXCLUSIONS

    What this route model does not value

    • It does not estimate travel time, delays, crash risk, fatigue, accessibility, emissions, or comfort.
    • Vehicle depreciation, financing, insurance, maintenance, and fuel may be double-counted if the rate definition is unclear.
    • Alternate fares may change after the quote date and may not include disruption costs.
    • The calculation is personal planning arithmetic, not tax or reimbursement eligibility.

    Questions about distance-based visit planning

    Should I use miles or kilometres?

    Either works if the one-way distance and cost rate use the same unit. State the unit in the saved record.

    Is the IRS mileage rate my actual driving cost?

    Not necessarily. It serves specific tax purposes and changes over time. Use a rate appropriate to your planning boundary and document its source.

    Why multiply the alternate fare by travelers?

    Passenger modes usually charge each traveler, while the distance-based vehicle cost may be shared by occupants. The comparison must reflect how many fares are needed.

    Can the break-even rate be negative?

    It can when tolls alone exceed the alternate total fare. In that case no nonnegative distance rate makes the distance-based option cheaper under the entered boundary.

    Does annual distance include local driving at the destination?

    Only if it is included in the entered one-way route. Add destination travel explicitly in a broader trip budget if it applies differently by mode.

    Which option should we choose?

    The label reports recorded money cost only. Consider time, reliability, personal safety, weather, accessibility, flexibility, and relationship preferences separately.
