Calculator guide

Understanding Rental Property Expense Calculator

Rental operating expense analysis should show how scheduled rent turns into collected rent and then into cash before debt.

Annualize scheduled rent Monthly rent is placed on the same annual basis as expenses.
Subtract vacancy loss Collected rent is the reference for the management fee.
Calculate management fee Management is charged on collected rent, not scheduled rent.
Add operating expenses Capital reserve is kept visible inside the operating cash plan.

Calculation method

How the calculation works

Convert each entered ownership expense to an annual basis, calculate management on collected rent, and keep capital reserve visible in cash planning. Annualize rent, subtract vacancy, calculate management on collected rent, add all owner-paid expenses, then compare expenses and cash before debt against collected rent.

Detailed calculation process

Reconcile scheduled rent to cash before debt

The default uses $4,200 monthly scheduled rent, 6% vacancy, property tax, insurance, repairs, 8% management on collected rent, utilities, capex reserve, and other expenses.

General formula: Rent_y = 12R_mVacancy = Rent_y v/100Collected = Rent_y-VacancyMgmt = Collected m/100Opex = Tax+Ins+Repairs+Mgmt+Utilities+Capex+OtherCash = Collected-OpexOER = 100 Opex/Collected Vacancy reduces scheduled rent before the management fee is calculated. All operating costs are then added and subtracted from collected rent to show cash before debt service.

What each symbol means

R_m, Rent_y Monthly and annual scheduled rent ($/month, $/year).
v Vacancy and credit loss rate (%).
Collected Annual rent after vacancy loss ($/year).
m, Mgmt Management fee rate (%) and management fee ($/year).
Opex Total annual operating expenses ($/year).
Cash, OER Cash before debt ($/year) and operating expense ratio (%).

Worked substitution with the default inputs

1. Annualize scheduled rent Rent_y = 12 x 4,200 = $50,400 Monthly rent is placed on the same annual basis as expenses.
2. Subtract vacancy loss Vacancy = 50,400 x 6/100 = $3,024Collected = 50,400-3,024 = $47,376 Collected rent is the reference for the management fee.
3. Calculate management fee Mgmt = 47,376 x 8/100 = $3,790.08 Management is charged on collected rent, not scheduled rent.
4. Add operating expenses Opex = 7,200+2,400+5,200+3,790.08+1,800+3,600+1,200 = $25,190.08 Capital reserve is kept visible inside the operating cash plan.
5. Reconcile cash and ratio Cash = 47,376-25,190.08 = $22,185.92OER = 100 x 25,190.08/47,376 = 53.17055% The same expense total drives both the cash result and the expense ratio.

The default leaves $22,185.92 before debt and shows a 53.17% operating expense ratio.

Worked situations

Practical examples

  • The default uses $4,200 monthly scheduled rent, 6% vacancy, property tax, insurance, repairs, 8% management on collected rent, utilities, capex reserve, and other expenses.

Better inputs

Useful tips

  • Convert taxes, insurance, licensing, and other annual bills to the period used by the monthly operating statement.
  • Apply vacancy and management assumptions to the intended rent base rather than entering them again as fixed dollars.
  • Keep routine repairs, capital replacements, debt service, and owner income tax separate when interpreting cash flow.

Before relying on the result

Limitations and common mistakes

  • Accounting NOI may exclude some owner costs or capital reserve.
  • Turnover, leasing, repairs, taxes, insurance, regulation, and collections can change the result.
  • Debt service and income taxes are not included on this page.
