Freight Cost Calculator

Calculate rated tonne-kilometres, base line-haul, fuel surcharge, total modeled freight cost, cost per kilogram, and the shares attributable to fuel and accessorials. The result is useful for contract scenario comparison when every quote uses the same scope.

How to use Freight Cost Calculator

  1. Confirm that the quote is actually rated per tonne-kilometre; do not convert a per-load or tariff-zone quote into this model.
  2. Use chargeable shipment weight, rated distance, and the contracted rate from the same tariff basis.
  3. Itemize detention, liftgate, appointment, toll, handling, and other accessorials rather than burying them in the rate.

Understanding Freight Cost Calculator

Use this page when a carrier contract or internal model actually supplies a tonne-kilometre rate. It converts chargeable mass and rated distance into transport work, then keeps line-haul, fuel surcharge, and entered accessorial services auditable instead of presenting a universal market quote.

Transport work Mass and distance jointly determine the base.
Fuel layer Fuel surcharge is calculated separately.
Service extras Accessorials remain visible and auditable.
Tariff check Contract minimums and rules can override simple arithmetic.

Calculation method

How the calculation works

Use a known contract tonne-kilometre rate in USD to calculate transport work and line-haul, then keep fuel surcharge and entered accessorial services visible as separate cost layers. Convert kilograms to tonnes, multiply tonnes by route kilometers and entered rate, apply fuel surcharge to line-haul, then add accessorial charges.

Detailed calculation process

Build the contract-rate cost in auditable layers

Start with transport work, then add only the charges whose application basis is known.

General formula: Tonne-km = kg ÷ 1,000 × km; Total = tonne-km × rate + fuel surcharge + accessorials The calculation is valid only when the entered rate is denominated per tonne-kilometre and fuel is contractually applied to the line-haul base.

What each symbol means

m Chargeable shipment mass in kilograms.
d Carrier-rated or contract distance in kilometres.
r Contract currency per tonne-kilometre.
f Fuel surcharge percentage applied to line-haul.

Worked substitution with the default inputs

1. Calculate transport work: Work = m ÷ 1,000 × d This keeps mass and distance visible before price is applied.
2. Calculate line-haul and fuel: Line-haul = Work × r; Fuel = Line-haul × f Do not apply fuel to accessorials unless the contract says so.
3. Reconcile the modeled total: Total = Line-haul + Fuel + entered accessorials Compare quotes only after their included services and tariff bases match.

Use this result for like-for-like contract scenarios, not as a substitute for a carrier tariff or confirmed quote.

Quote comparison

Normalize carrier quotes before choosing

Two totals are not comparable until included services match.

Rated weight Confirm actual, dimensional, class, or minimum weight basis.
Distance basis Check route, postal zone, lane, or tariff mileage.
Fuel index Identify base fuel price, index date, and application base.
Accessorial scope List included and excluded pickup, delivery, and waiting services.

Worked situations

Practical examples

  • 8,500 kg equals 8.5 tonnes.
  • Across 620 km at $0.14 per tonne-km, base line-haul is $737.80.
  • An 18% fuel surcharge plus $275 accessorials produces about $1,145.60 total.

Better inputs

Useful tips

  • Compare quotes using the same weight, distance, service, fuel index, and accessorial scope.
  • Reconcile minimum charge before relying on a low calculated line-haul.
  • Keep taxes and cargo insurance separate unless the tariff explicitly includes them.

Before relying on the result

Limitations and common mistakes

  • The model requires positive chargeable weight, rated distance, and contract rate, and applies fuel only to line-haul.
  • Freight class, dimensional weight, pallets, zones, minimums, tolls, detention, tax, cargo cover, and capacity pricing are excluded unless included in entered accessorials.
  • Actual carrier-rated distance may differ from map distance.

Reference

Key terms

Tonne-kilometer
Transport work of one metric tonne moved one kilometer.
Line-haul
Base movement charge before modeled additions.
Fuel surcharge
Entered percentage applied to base line-haul.
Accessorial
Additional service charge beyond basic movement.

Important note

Calculated from the entered shipment values and stated rate rules. Carrier tariffs, quotes, service rules, customs treatment, and claims terms control actual charges.

Frequently asked questions

Why convert kilograms to tonnes?

The entered rate is defined per metric tonne-kilometer.

Is fuel surcharge applied to accessorials?

Not in this model; verify the contract.

Does cost per kilogram determine the invoice?

No. It is a normalized output after the modeled total is calculated.

Can map distance be used?

It is a planning input, but carriers may rate a different distance or zone.
