Venue and guest-pickup events use twice the one-way venue distance dv. Vendor loops use their own full-loop distance dl. The contingency c is applied once to base distance, after which average speed s and personal rate r produce moving time and cost.

    Build routes from actual appointments

    1. Choose one local planning location for the date-only runway and confirm the wedding civil date.
    2. List venue tours, rehearsals, setup, event-day, teardown, and return journeys as round trips.
    3. Map supplier loops separately when they do not begin and end at the venue.
    4. Count guest pickups only when transport responsibility has been accepted.
    5. Document a personal cost-per-distance rate and a realistic average moving speed.
    6. Add route contingency after the base ledger, then turn the output into dated driver assignments.

    A transparent percentage for reroutes or extra mileage, not a hidden extra trip.

    Distance divided by average speed; it excludes stopped time unless speed was adjusted to absorb it.

    Trip consolidation

    Combining a venue visit with a vendor pickup can reduce miles, but only after opening hours, vehicle capacity, storage, and item readiness are confirmed.

    Rate selection

    Fuel alone understates many journeys; rental, charging, tolls, parking, wear, and reimbursements may require a different documented method.

    Clock-time itinerary

    Date-only runway arithmetic is DST-neutral. Exact departures must use current location time zones and handle clock changes separately.

    Retain every route and rate source

    Save map dates, endpoints, route alternatives, appointment list, driver assignments, vendor addresses, guest commitments, cost-rate worksheet, toll and parking quotes, average-speed rationale, wedding location, and the time-zone database version used by the itinerary system.

    Distance limitations

    What the route ledger excludes

    • It does not optimize routes or model live traffic, road closures, parking searches, loading, rest breaks, weather, or delays.
    • The personal travel rate is not automatically a tax-deductible, reimbursable, or insurance-approved rate.
    • Average speed converts distance to moving time and can understate door-to-door commitments.
    • Contingency increases distance only; it does not add trip events, drivers, vehicles, or capacity.
    • Date arithmetic uses local civil dates, start excluded and wedding included; exact clock schedules require zone-aware tools.

    Two logistics cases

    A rural venue and a city venue

    Rural venue

    Long venue miles dominate the ledger, so combining walkthroughs and assigning one guest shuttle materially reduces cost. Weather contingency remains explicit.

    City venue

    Distance is short but moving speed and parking are poor. The mileage model understates door-to-door time, prompting a separate transit and loading itinerary.

    Use current navigation, weather, road, venue, vehicle, and driver information. Do not assign unsafe journeys or treat an IRS rate as personal cost, reimbursement entitlement, or tax advice.

    Frequently asked questions

    Why are venue trips round trips?

    The model doubles the entered one-way venue distance for each venue or guest-pickup round trip.

    Is the cost-per-mile default an IRS deduction rate?

    No. The entered value is a personal planning rate. IRS rates have limited tax purposes and change over time.

    Does contingency add more trips?

    No. It adds a percentage mileage allowance after the three route families are totaled; it does not change trip-event count.

    How are planning days counted?

    The start civil date is excluded and the wedding civil date included on the proleptic Gregorian calendar.

    Can I use kilometres?

    Yes only if every distance and rate uses kilometres consistently; the page labels miles because the default inputs are in miles.

    Does travel time include traffic or stops?

    Only through the average-speed assumption. Parking, loading, waiting, congestion distributions, and rest stops need a separate itinerary.
